Playing a JCPS sport takes more than making the team.
Before a student can participate, families may need a current physical, parent permission, concussion paperwork, the JCPS sports safety requirement and academic clearance. Transfers can require another layer of approval. And despite what parents sometimes hear, JCPS does not have one universal GPA cutoff that decides whether every athlete can play.
JCPS says about 10,000 middle and high school students currently participate in sports, with 14 boys sports and 14 girls sports offered across the district during the year. That does not mean every sport is available at every school. The district directs families to the athletic director at their child's school for the actual opportunities available on that campus.
Here is how the rules work and where parents should look before the next tryout, practice or game.
There is no single JCPS GPA requirement for athletes
This may be the most useful rule to understand.
JCPS does not publish a districtwide rule saying every athlete must maintain a specific GPA such as 2.0 or 2.5.
Instead, the district follows the KHSAA academic eligibility standard. JCPS says students must be passing at least four hours of instruction to be eligible for the following week. The district explains that as passing four of six classes or five of seven classes. Grades must be checked every week on a consistent day.
There is another catch. A school's School Based Decision Making Council can adopt an academic requirement that is stricter than the KHSAA minimum.
So two students at different JCPS schools could face different local academic standards even though both are in the same district.
Before the season starts, parents should ask the athletic director a very specific question: Does this school have an academic eligibility rule beyond the KHSAA minimum?
JCPS also requires students to be on grade level on the first day of school to participate during that school year. The district says students may regain eligibility after successfully completing a trimester or semester under KHSAA rules.
And eligibility can change during the season. A student who falls below the weekly passing requirement can be held out even if the student was eligible when the team was selected.
Attendance can affect whether your child plays that day
Grades are not the only academic piece.
JCPS says a student must be in school for at least three hours to participate in an athletic event that day unless the principal approves an exception.
That can matter when a student is sick, has an appointment or arrives late on game day.
If there is any doubt, check with the school before assuming a student can miss most of the day and still compete that evening.
The physical and permission paperwork comes before participation
JCPS requires athletic participants, including students in cheer and dance, to have several items on file:
A current KHSAA physical examination
A notarized statement giving parental permission
A signed concussion statement
Confirmation that the parent understands KHSAA eligibility rules
JCPS also requires student athletes and at least one parent or legal guardian to complete its sports safety video requirement. Students must review the video each year. Parents are required to watch it once during middle school and once during high school.
KHSAA currently lists separate athletic paperwork for high school and middle school students. The high school permission and medical clearance form is GE04. The middle school form is MS01. Parents can find the current versions through the KHSAA forms page.
Do not count on being allowed to complete required medical clearance after a student has already started participating. KHSAA rules require the necessary clearance and consent before participation.
JCPS and KHSAA publish slightly different language on how long a physical lasts
There is a small but real discrepancy in the current public guidance.
The JCPS athletics regulations say a physical exam is good for one calendar year.
The current KHSAA Bylaw 12 says an annual physical examination is considered valid for 395 days from the date it was administered, which KHSAA describes as one year plus 30 days.
Those instructions are not identical.
For a JCPS family, the safest approach is simple: do not plan around the extra 30 days. If the physical is approaching one year old, renew it or ask the school's athletic director which date the school will use before a tryout or competition.
That avoids discovering the disagreement at check in.
JCPS also says free sports physicals are available for students who do not have health insurance or a health care provider. The district lists appointments through the CBY Service Center at 3001 Crittenden Drive and South Central Neighborhood Place at 4255 Hazelwood Avenue. Families can call JCPS Health and Wellness at 502 485 3387 for an appointment.
Transferring schools can change athletic eligibility
A school transfer does not automatically mean a student can immediately play varsity sports at the new school.
JCPS says transferring students must receive clearance through both the JCPS Office of Activities and Athletics and KHSAA when applicable. JCPS also publishes a district transfer restriction that it describes as stricter than the KHSAA transfer rule. During the review process, its regulations allow affected students to practice and participate at lower levels under specified circumstances.
This is one area where parents should not rely on what happened to another athlete last year.
KHSAA transfer rules have been under active review. In July 2026, the KHSAA Board of Control said it was continuing work on possible changes to Bylaw 6 for consideration during the 2026 season.
If your child changed high schools and previously played varsity sports, tell the new athletic director about the transfer before tryouts. Ask whether both JCPS and KHSAA clearance are required for that student.
Enrollment and athletic eligibility are two separate questions.
Where to find JCPS sports schedules
There is not one simple district page that gives every family every team schedule.
JCPS has a central athletics site with school information, forms, schedules and athletic contacts, but individual schools remain an important source for team details. The district specifically tells families to contact their school's athletic director.
For high school sports, KHSAA now publishes a directory of official ArbiterLive calendar pages for its member schools. The July 2026 directory includes JCPS schools such as Atherton, Ballard, Brown, Butler and Central.
Parents looking for a game should generally check:
The school's athletics page or team information
The school's athletic director or coach communication
The KHSAA ArbiterLive school schedule directory for high school competition
Check again on game day if weather or another last minute issue is possible.
JCPS regulations say only a principal or athletic director may schedule or cancel athletic events. Schools are also required to follow the JCPS master schedule, with participating schools agreeing to changes.
Weather closures have an especially clear rule. If JCPS closes school for the entire day, or operates for less than a legally constituted school day because of weather, the district says extracurricular activities, practices and home and away games are canceled. A Friday closure can be treated differently for Saturday events at the principal's discretion under the district rule.
A parent checklist before the season starts
A few questions can prevent most of the paperwork surprises.
Does my child's school actually offer the sport? Offerings vary by school, even though JCPS offers 14 boys sports and 14 girls sports across the district.
When are tryouts or the first required practices? Get the date from the school rather than assuming it matches another JCPS campus.
Is the physical still current? If it is approaching one year old, renewing it early is the safer move.
Have all required forms been submitted? Ask whether the school uses paper forms, an electronic system or both.
Has the sports safety requirement been completed? Students repeat it annually, while parents complete it once in middle school and once in high school.
What is this school's academic standard? The KHSAA minimum is not necessarily the school's final rule.
When does the school check grades? JCPS requires weekly eligibility checks.
Has my child transferred schools? If so, get an eligibility decision before assuming varsity participation is allowed.
Where is the official team schedule posted? Save the school source and the KHSAA schedule before the season gets busy.
